Bookkeeping

The Bookkeeping module allows you to track income and expenses for your properties directly within the app, replacing the need for external spreadsheets.

Getting Started

Navigate to the Bookkeeping tab in the dashboard side menu. If this is your first time, you'll need to set up an account.

Features

1. Financial Accounts

Create virtual representations of your real-world accounts to track balances.

  • Types: Checking, Savings, Credit Card, Cash, Loan.
  • Management: You can create multiple accounts (e.g., "Chase Operations", "Capital One Repairs").
  • Balance Tracking: Manually update balances or let transactions drive the numbers.

2. Transactions

Log every financial movement.

  • Income: Rent payments, deposits, refunds.
  • Expenses: utility bills, repairs, mortgage payments.
  • Categorization: Assign categories to keep your tax reporting organized.
  • Property Linking: Associate a transaction with a specific Property Analysis. This allows you to see the true profitability of a specific deal.

Use the search bar and filter dropdowns to find specific transactions by:

  • Date Range
  • Account
  • Property
  • Transaction Type (Income/Expense)

4. Project Budget Integration

Seamlessly link day-to-day transaction to long-term project budgets.

  • Pro Forma Comparison: Transactions allocated to a project update the "Actual Spend" column in the Project Budget view.
  • Overage Protection:
  • The system checks the remaining budget for the selected category before you save.
  • Warning: If a transaction exceeds the budget, a warning dialog appears.
  • Approval: You can proceed, but it requires explicit approval and triggers an instant Notification to all owners.

5. Holding Tank (Drafts)

Transactions can be saved as "Drafts" (flagged is_draft) if you are unsure about details or need approval.

  • Review Queue: Drafts appear in a dedicated "Requires Review" section.
  • Approval Flow: Managers or Admins can review these drafts and click Approve (to post) or Reject (to delete).
  • Use Case: Junior staff entering receipts that need Owner verification.
